How to complain

We ask you to read the section Before you submit your complaint before you move on to the information about how to complain.

What your complaint must contain

Write your contact details (name, address and CPR number, if any). The Ombudsman does not process anonymous complaints.

Please write the complaint briefly and in your own words. Describe what you are dissatisfied with or what you think that the authorities have done wrong. It is not necessary to use legal terms and expressions.

Document formats

You can send documents to the Ombudsman in common formats such as pdf, doc, docx, jpg, xps and png. Please avoid sending files in a format that requires special programmes to open the files. This may delay the processing of the complaint, and you may be asked to send the material again.

For IT security reasons, the Ombudsman does not have access to documents sent via external links, including to a cloud-based solution.

The Ombudsman also does not have direct access to the case with the authority.

You can complain by

  • filling in and submitting the electronic complaint form (in Danish) and attaching the relevant documents
  • sending a message via Digital Post and attaching the relevant documents
  • sending an ordinary letter with the relevant documents enclosed

We will send a confirmation within 10 weekdays.

If you send an ordinary e-mail with the relevant documents to us, it is important that you state your name and your address. You will receive an automatic confirmation that your e-mail has been received.

The complaint must be sent directly and solely to the Ombudsman

You cannot expect to receive a reply to a complaint that you send for information, to several recipients or in copy to the Ombudsman.

Digital Post

We recommend that e-mails are sent via Digital Post, which may be accessed at, for instance, lifeindenmark.dk.

Digital Post is secure (encrypted), and the identity of the sender is certain.

If you want to forward post to us, you can do so by selecting Folketingets Ombudsmand as recipient. It is not necessary to create Folketingets Ombudsmand as a Digital Post recipient in order to forward post to us.

Exempt from Digital Post

If you are exempt from Digital Post, we will send a reply through the postal service. This is because communication by e-mail is only sufficiently secure if you use a secure connection, meaning Digital Post or a digitally signed and encrypted e-mail. This prevents unauthorised persons from gaining access to any confidential information in the correspondence.

 

 

 

The Ombudsman’s e-mail address is post@ombudsmanden.dk.

We can receive your complaint in an unsecure e-mail, but we can normally not reply in the same way. It is therefore important that you also state your full name and your postal address, so we can send you a reply in a letter sent through the postal service.

You will receive an automatic confirmation that your e-mail has been received.

The Parliamentary Ombudsman uses templates to create messages that enable Word documents to be created as accessible files.

When messages are sent from the Parliamentary Ombudsman, they are converted into PDF files. We are currently having problems adding the accessibility markup to the PDF files. We are working with our service providers to solve this.

We test our messages in PAC2021 on an ongoing basis.

In the messages we send, there may be attached documents that we have received from external parties. To the extent that those documents are accessible, we strive to ensure that this is also the case when they are forwarded from the Parliamentary Ombudsman.

In cases where the documents are not accessible on receipt by the Parliamentary Ombudsman, we cannot ensure that they are accessible when forwarded from here.

If you receive documents that are not accessible

If you cannot access messages from the Parliamentary Ombudsman with your accessibility tools, please contact us. In specific cases, we can send accessible files directly to the recipient if the accessibility level in the original message is not sufficient.
